About this policy
Phoenix A.M.D. International Inc. (Phoenix, we or us) respects your privacy. This policy explains what personal information we collect, why we need it, how we protect it and how you can exercise your rights.
It applies to our customers in Canada and the United States, our websites and portals that link to this policy, and information collected through our programs, retailers and customer service team. Personal information is information that can identify you, directly or indirectly.
Information we collect
We collect the information needed to provide our products and services and administer programs on your behalf. Depending on your request, this may include:
- Your name, address, telephone number, email address and preferred language.
- Purchase details, invoices, product models and serial numbers, and program or membership information.
- Details of your claim or service request, including relevant photos, repair reports and service history.
- Correspondence, customer service notes and recorded calls.
- Billing and payment information when we need to bill you directly, which occurs only occasionally.
- Basic technical information from our websites and mobile applications, such as your IP address, browser information, device information, app usage data and cookies.
We collect information when you register a product or program, submit a request, use our websites or mobile applications, or contact us by phone, email or other means. We may also obtain information from your retailer or repair provider with your consent or as permitted by law. For example, we sometimes request an invoice from a retailer to confirm your purchase and ownership of a program. You can ask us where information received from another business came from, subject to legal exceptions.
We record calls and retain the recordings for training and quality control. We let you know when a call is being recorded. If you do not wish to be recorded, tell the representative so we can discuss another way to assist you, such as email correspondence.
Why we use your information
We use your information to:
- Register and administer your programs, memberships and product benefits.
- Confirm purchases, review claims and arrange repairs, replacements or other services.
- Answer questions, maintain your customer record and provide service updates.
- Process a payment or refund when needed.
- Train our customer service team, monitor service quality and improve our services.
- Protect our systems, prevent fraud, handle complaints and meet legal obligations.
We explain why information is needed and obtain your consent when required. Optional marketing is a separate choice, and you can unsubscribe at any time. We request express consent when required for sensitive information. Simply visiting our website does not mean you agree to every use of your information.
We do not use automated decision-making. We do not share analytics with advertising partners.
Who may receive your information
We share only the information needed to provide a service or for another purpose permitted by law. Depending on your request, recipients may include:
- Retailers, manufacturers, program administrators and repair providers involved in your registration, claim or service.
- Customer service providers who collect information and assist consumers on our behalf.
- Providers that support our websites, customer records, communications, deliveries or payments.
- Professional advisers or authorities where disclosure is legally permitted or required.
Providers working for us must protect your information and use it only for the services they provide on our behalf. We use written agreements where required by law. Independent retailers and other organizations may also have their own privacy policies.
Processing outside Québec
We process customer information in Ontario. We also contract with customer service representatives outside North America to collect information on our behalf. Your information may therefore be collected, accessed or processed outside Québec and outside Canada.
Before a transfer or service arrangement that requires a privacy impact assessment, we assess the risks, local laws and safeguards, and put the required written protections in place. Information processed in another country may be accessible to its courts or authorities under local law.
Keeping your information safe
We retain customer information for as long as needed to administer programs on your behalf, handle service requests and claims, and meet legal requirements. Call recordings are kept for the period needed for training and quality control and any applicable legal requirements. You may ask us about the retention period that applies to your records.
When information is no longer needed and no legal requirement calls for keeping it, we securely destroy it or anonymize it in accordance with applicable law.
We use physical, technical and administrative safeguards appropriate to the information. Access is limited to staff and service providers who need it for their work. Customer service and claims staff handle program records; finance staff handle billing; and authorized technology staff support and secure our systems. Our Privacy Officer oversees privacy practices and complaints, and managers oversee how information is handled and retained within their teams.
No system is completely secure. If a privacy incident occurs, we take steps to limit harm, investigate and prevent it from happening again. We keep an incident register and notify the relevant authorities and affected people when the law requires it.
Your choices and rights
You can contact us to request access to your information, correct information that is inaccurate or incomplete, or withdraw consent to a use or disclosure. We will explain any effect on your services. Refusing optional marketing does not affect your program benefits, but we may need certain information to process a claim or provide a requested service.
In Québec, you can also request an electronic copy of eligible computerized information you provided, in a common structured format, or its transfer to an organization legally entitled to receive it. This excludes information we created or inferred and is subject to serious practical difficulties. You may request deletion of unlawfully collected or retained information and, where legal conditions are met, the removal of published information or links to it, or the restoration of those links.
Send access or correction requests in writing to our Privacy Officer. We may verify your identity before responding. For requests governed by Québec law, we respond in writing within 30 days of receipt. If we cannot grant a request, we explain why and the available recourse. Access is free; we will tell you in advance about any copying or delivery charge permitted by law.
Depending on where you live, including your province or U.S. state, you may have other rights to access, correct, delete or transfer information, limit certain uses, or appeal a refusal. Contact us to exercise applicable rights. We will not unlawfully discriminate against you for doing so.
Cookies and other points to know
We use a limited number of cookies to support our websites. Cookies are small files saved by your browser. You can manage or delete them through your browser settings, although blocking some cookies may affect website functions. Where a cookie or other tracking feature requires consent, we explain its purpose and obtain that consent before using it. We do not share website analytics with advertising partners.
Our services are intended for adults. In Québec, we do not collect personal information directly from children under 14 without the consent of a parent or legal guardian, unless the law permits collection for the child’s clear benefit.
Our websites may link to independent websites. Please review their privacy policies before providing information.

Explain your concern and how we can reach you. Our Privacy Officer will acknowledge your complaint, review it with the people who need to be involved, and explain the outcome and any corrective action.
You may also contact the Commission d’accès à l’information du Québec at www.cai.gouv.qc.ca or, where federal Canadian privacy law applies, the Office of the Privacy Commissioner of Canada at www.priv.gc.ca. You do not have to finish our complaint process before exercising a legal right of recourse.
Changes to the policy
We update this policy when our practices or legal requirements change. We publish the revised policy and date on our website and provide notice of changes in a way appropriate to reach the people concerned. We obtain new consent, when required, for a new use of your information.
